For participants in the Chrysler Company Car Lease Program, understanding the vehicle damage repair policy is crucial. This guide provides a comprehensive overview of the procedures and regulations you need to follow in the event your leased vehicle requires repair. Adhering to these guidelines ensures compliance with company policy and a smooth repair process.
Understanding Authorized Repair Procedures for Your Chrysler Lease Vehicle
When your company-leased Chrysler vehicle requires repairs, it’s imperative to utilize authorized facilities to maintain compliance and ensure quality. All repairs on vehicles within the Chrysler company car lease program must be completed at a Stellantis franchised dealership or a sublet facility referred by a Stellantis dealership. This requirement ensures the use of Original Equipment Manufacturer (OEM) parts, upholding the vehicle’s integrity and resale value.
Using authorized repair facilities is not just a matter of policy; it’s also often a legal requirement. Federal and state laws mandate full disclosure of all body damage repairs when a company-owned vehicle is sold. By adhering to the authorized repair network, Stellantis ensures transparency and legal compliance throughout the vehicle lifecycle.
Initiating a Vehicle Damage Claim: Your First Steps
In the unfortunate event of vehicle damage, prompt action is essential. Whether it’s a minor scratch or a major collision, the first step is to contact Stellantis Claims (CEI) immediately at (800) 313-7448. This initial contact is crucial for all claims and damage appraisals within the Chrysler company car lease program, regardless of location within the United States, District of Columbia, or Canada.
During your call, you will be guided through the initial claim process. A vehicle damage claim number is mandatory and will be provided by Stellantis Claims (CEI). Crucially, remember that an authorized damage appraisal must be completed and approved before any repairs commence on your company-leased vehicle. Starting repairs without this authorization can lead to complications and potential financial responsibility for the participant.
Participant Responsibility and Negligence in Chrysler Lease Vehicle Damage
While the Chrysler company car lease program covers many aspects of vehicle maintenance and repair, participants can be held responsible for repair costs under specific circumstances. Negligence or unapproved modifications can lead to financial liability, potentially covering up to 100% of the repair expenses.
Examples of negligence that may result in participant responsibility include:
- Interior damage: Spills, upholstery tears or burns, cracked or damaged radio screens, pet damage.
- Exterior damage: Damage from improper ice scraping, damage caused by loading, unloading, or transporting cargo, improperly secured tonneau covers.
- Mechanical damage: Using the wrong fuel type.
It’s important to exercise due care and diligence in maintaining your Chrysler lease vehicle to avoid these negligence-related charges. Furthermore, repairs performed at independent facilities are not authorized and will not be reimbursed under the Chrysler company car lease program. Participants are fully responsible for any costs incurred from unauthorized repairs. Similarly, personal property damaged in an accident is not covered or reimbursable by the program.
Step-by-Step Accident and Damage Reporting for Chrysler Company Vehicles
In the event of an accident or damage to your Chrysler company-leased vehicle, follow these critical steps to ensure proper reporting and claim processing:
- Ensure Safety First: Prioritize safety by providing help to any injured individuals involved in the accident.
- File a Police Report: Contact local law enforcement and file a police report. Adhere to the specific state laws where the accident occurred when reporting to the police.
- Complete the Accident/Damage Report Form: Before leaving the accident scene, thoroughly complete all sections of the Accident/Damage Report Form. It’s essential to keep a copy of this form for your personal records.
- Contact Stellantis Claims (CEI) Immediately: As soon as possible after the accident, call Stellantis Claims (CEI) at 1-800-313-7448. Provide the completed information from your Accident/Damage Report Form. Experienced claims specialists are available 24/7 to assist you. Clearly identify yourself as a Stellantis employee and participant in the company vehicle program.
- Contact Gallagher Bassett Services, Inc. (If Necessary): For injury-related questions or concerns regarding damage to third-party vehicles or property, contact Gallagher Bassett Services, Inc. at 1-866-850-1933, or 1-248-452-6050.
- Comply with Stellantis Procedures: Ensure you fully comply with all Stellantis accident and fleet procedures as outlined by the company.
- Authorized Dealership Repairs: Remember that all vehicle repairs and associated paperwork must be handled exclusively by an authorized Stellantis franchised dealership.
For detailed information and the Accident/Damage Report Form, refer to the Chrysler Corporate Accident Kit.
Vehicle Damage Appraisal Policy and Procedure Explained
Once you’ve reported the damage to Stellantis Claims (CEI), a representative will assign a vehicle damage claim number. They will then coordinate with a Stellantis franchised dealership to conduct an initial damage inspection. This process is integral to managing the subsequent claim and repair process efficiently.
However, certain repairs within the Chrysler company car lease program are considered exceptions and do not require a vehicle damage estimate prior to repair. These exceptions are typically related to safety and essential vehicle operation:
- Safety-Related Repairs: Repairs critical for vehicle safety, such as headlights, taillights, rearview mirrors, and side mirrors, must be addressed immediately and do not necessitate a prior appraisal. If a Stellantis dealership is unavailable, a licensed repair facility can perform these repairs. In such cases, participants should pay for the repairs and seek reimbursement.
- Tires: Tire-related issues are covered under a separate Tire policy detailed under the “Maintenance, Modifications & Roadside” tab of your program resources.
- Wheel Alignments: Standard wheel alignments do not require a damage estimate.
- Windshield Glass Replacement (No Body Damage): If windshield replacement is needed due to damage without accompanying body damage, a claim is not required. However, if body damage is present, a claim must be filed. Refer to the “Glass” policy under the “Maintenance, Modification & Roadside” tab for specific details.
- Stolen Radios and Equipment (No Body Damage): Replacement of stolen radios and equipment is covered without a damage estimate, provided there is no associated body damage. (See the section on ‘Stolen Equipment’).
For all other types of damage, especially body damage, the Vehicle Damage Appraisal Process must be followed to ensure proper authorization and claim processing within the Chrysler company car lease program.
Navigating Other Types of Vehicle Damage and Repairs Under the Chrysler Lease
Beyond accident-related damage, the Chrysler company car lease program addresses various other scenarios, each with specific procedures:
Body Damage: Wear and Tear vs. Claimable Damage
Body damage exceeding the defined standards of the Company Vehicle Operations Wear Square necessitates filing an accident claim and obtaining a repair estimate from a franchised dealer. The Wear Square is a tool used to measure damage extent and tire tread depth to determine repair or tire replacement needs. Wear Squares are provided upon vehicle delivery and can be requested from the Company Vehicle Operations Group. Click here to view the Company Car Wear Square.
For body damage estimated to be under $1,000, repairs should generally not be made unless the damage significantly impacts the vehicle’s appearance, safety, or structural integrity. Repairs under this threshold require prior approval from Company Vehicle Operations. Crucially, even if repairs are not made for damage under $1,000, retain the repair estimate, as it will be required when you turn in the vehicle at the end of the lease term. For damage estimates of $1,000 or more, claim approval from Stellantis Claims (CEI) is mandatory before commencing any repairs.
Normal wear and tear, such as minor scratches and dings, are not authorized for repair under the program.
Rim and Wheel Damage: Filing a Claim is Essential
Damage to rims or wheels, whether requiring repair or replacement, necessitates filing a claim. If both a tire and rim are damaged simultaneously (e.g., due to pothole impact), a single claim should be filed with CEI covering both items. While scratched rims may or may not be covered depending on the severity, it’s always advisable to file a claim for appraisal to determine coverage eligibility.
Vehicle Vandalism: When to Utilize the Damage Appraisal Process
In cases of vandalism, the Vehicle Damage Appraisal Process is utilized specifically when the vandalism results in:
- Body damage (sheet metal)
- Suspension damage
- Underbody damage
- Stolen equipment
For body damage resulting from vandalism, follow the Vehicle Damage Appraisal Policy. A courtesy estimate from a Stellantis franchised dealership is recommended. If the estimate is under $1,000, repairs are typically not authorized. For estimates of $1,000 or more, a claim and a police report are required before any repairs begin.
Glass Damage: Windshields, Windows, and Claims
Glass damage procedures vary depending on the type and extent of damage:
- Glass Damage with Other Vehicle Damage: If glass damage is accompanied by body damage, suspension, underbody damage, or stolen equipment, the Vehicle Damage Appraisal Policy applies. A claim and police report are required.
- Windshield Damage Only: For windshield damage without any other vehicle damage or stolen equipment, contact Safelite directly for replacement.
- Other Glass Damage Only (e.g., sunroof, window): If glass damage is to any glass other than the windshield and there is no other vehicle damage or stolen equipment, a claim must be filed.
- Windshield and Other Glass Damage: If both the windshield and other glass components are damaged, a claim must be filed.
Stolen Equipment and Vandalism: Comprehensive Claim Procedures
If equipment is stolen or vandalized and there is also body damage, suspension, or underbody damage, the Vehicle Damage Appraisal Policy must be followed. A claim should be filed, and a police report is necessary. Replacement of Original Equipment by Manufacturer (OEM) parts must be performed at a Stellantis franchised dealership.
Personal Property: Not Covered Under the Chrysler Lease Program
It is important to note that Stellantis is not responsible for theft or vandalism of personal property within company-leased vehicles. Participants should address such losses through their personal insurance policies.
Hail or Salt Water Damage: Inspection and Disclosure Policy
Stellantis policy generally does not cover repairs for vehicle body damage (excluding glass replacement) resulting from hail or salt water exposure. However, all hail-damaged vehicles must undergo inspection to document the extent of the damage for disclosure purposes when the vehicle is turned in. Participants must adhere to the Vehicle Damage Appraisal Policy for these inspections. The damage appraisal documentation should be kept in the vehicle’s glove compartment.
In cases of severe hail or salt water damage, vehicle replacement may be considered. Participants must request a replacement through Company Vehicle Operations after the damage appraisal is completed.
Investigations, Legal Proceedings, and Participant Cooperation
Participants and permittees within the Chrysler company car lease program are obligated to fully cooperate with company investigations into accidents and vehicle damage. In cases of theft, vandalism, or other damage, including situations involving alleged wrongdoing, participants and permittees must cooperate with government authorities and Stellantis. This cooperation includes signing and filing criminal complaints, acting as witnesses, and taking other reasonable actions as requested.
Crucially, participants are responsible for retaining copies of all police and accident reports, damage appraisals, and any other relevant documentation related to accidents or loss incidents.
Loaner and Rental Vehicle Policy During Repairs for Chrysler Lease Participants
To minimize disruption during vehicle repairs, the Chrysler company car lease program provides loaner and rental vehicle options, subject to specific conditions and location:
Southeastern Michigan (SE MI) Residents: Loaner Vehicle Program
Participants residing in Southeastern Michigan should contact the Loaner Department at the Lapeer Road Marshaling Center at (833) 550-5783 to arrange a loaner vehicle if their Chrysler lease vehicle will be under repair for three days or more. It’s important to note that if any damage occurs to the loaner vehicle, the Vehicle Damage Appraisal Policy applies, and the Loaner Department should be contacted at the same number.
Residents Outside Southeastern Michigan: Rental and Loaner Options
For participants outside SE MI, two primary options exist:
- Indiana Residents (Limited Availability): Indiana residents may be able to obtain a loaner vehicle within Indiana by emailing [email protected]. Availability is limited, and this option is currently exclusive to Indiana. Insurance is included. If a local loaner is unavailable, the Business Travel rental option should be utilized.
- Business Travel Rental Program: Participants can book a rental loaner through Business Travel’s designated provider at (669) 272-1325. Loaner rentals via Business Travel outside of SE MI are permissible for drivers aged 18 and over. For drivers under 18, the participant can rent a vehicle and provide an alternate household vehicle to the younger driver. Insurance is included in the Stellantis contracted rate when renting through Business Travel for loaner rentals. Always state you are a participant in the Company Vehicle Program when calling.
When renting through Business Travel, email Company Vehicle Operations at [email protected] with the following information for validation:
- CID (Company ID)
- Retiree First and Last Name (if applicable)
- Dependent First and Last Name (if applicable)
- Indicate who the rental is for
Upon verification, a validation letter will be emailed to you, which must be presented at the rental counter.
Participants can rent a vehicle on the day their Chrysler lease vehicle is taken for repair if the repair duration is expected to be three days or longer. Reimbursement is capped at $35 per day, with a maximum of $350 per occurrence. The monthly lease payment continues while the leased vehicle is being repaired. If the vehicle is drivable, avoid leaving it at the dealership until parts are ordered and the dealership is ready to begin repairs. Compact-size rental vehicles typically fall within the $35/day price range. Larger vehicle rentals require prior approval from Company Vehicle Operations via email.
For repairs exceeding 10 days or if the maximum rental amount is reached, contact the dealership to inquire about the repair timeline and contact Company Vehicle Operations for assistance in expediting repairs or requesting a rental extension. Rental extensions must be requested via email to Company Vehicle Operations every 10 days if repairs are ongoing.
Procedures for Totaled Chrysler Lease Vehicles
In the unfortunate event that your Chrysler lease vehicle is declared a total loss by the authorized appraiser, the participant will be notified. The participant is responsible for removing all personal property, the license plate, registration, insurance certificate, and lease-related documents from the totaled vehicle. All items except the insurance certificate should be returned to the Lapeer Road Marshaling Center at the address provided below. The insurance certificate should be transferred to the replacement vehicle.
Lapeer Road Marshaling Center Stellantis CIMS: 438-01-00 4300 S. Lapeer Road Orion Twp., MI 48359 Outside Line: (833) 550-5783
Participants must notify Company Vehicle Operations of the totaled vehicle status by submitting an Interim Vehicle Replacement Form, found on the Company Vehicle Operations website under the “Forms” tab. Allow 2-3 business days for processing before contacting the Lapeer Road Marshaling Center.
Totaled Vehicle Replacement Procedures
- Within Southeastern Michigan: If a loaner vehicle was obtained from the Lapeer Road Marshaling Center, it must be returned at this time. An interim vehicle must be selected and retained until a new vehicle is ordered and delivered. A new vehicle order can be placed during the second or third ordering phase.
- Outside Southeastern Michigan: Participants outside SE MI should contact Company Vehicle Operations for assistance. Vehicle replacement is required to remain active in the lease car program. A new order is contingent on corporate vehicle production availability.
Totaled Vehicles Not Being Replaced
Participants choosing not to replace a totaled vehicle must submit a completed Termination Form, found under the “Bulletins and Forms” tab on the Company Vehicle Operations website. The completed and signed form should be submitted to the address or fax number indicated on the form. The Termination Form will discontinue monthly lease payments from the payroll/pension check, effective from the date the vehicle was totaled. If a vehicle order was already placed and the participant no longer intends to take delivery, this should be noted on the Termination Form.
Dealer Billing for Chrysler Lease Vehicle Repairs
Stellantis franchised dealerships are required to submit the repair order/invoice and appraisal to Company Vehicle Operations for payment at the following:
Fleet Operations – Vehicle Claims Email: [email protected] Phone: (833) 550-5783
Dealerships will receive a credit for the repair amount on their Dealer Billing Statement under Billing Code “0057”.
Third-Party Contacts and Claim Handling
Any subsequent claims or inquiries received from third parties (individuals, attorneys, or insurance companies) must be immediately referred to Gallagher Bassett Services, Inc. for handling and response.
Participants or custodians are not authorized to settle claims involving Stellantis-owned vehicles.
By understanding and adhering to these policies and procedures, participants in the Chrysler company car lease program can ensure a smooth and compliant experience when dealing with vehicle damage and repairs.
